Terms & Conditions

Convergence Summit · Version 1.0 · Last updated: 15 September 2026

These Terms apply to Convergence Summit, the conference on how AI is converging across industries held in Singapore on 13 November 2026, and to the official side events run around it, including Converge @ SFF, the Singapore FinTech Festival official hackathon held on 18 - 20 November 2026. Convergence Summit is organized by Ethene Labs. By registering for or attending the Event you agree to these Terms.

In particular, you agree that Ethene Labs may (a) add your email address to its mailing lists for future events and updates, (b) photograph and film the Event and use the footage for marketing, and (c) share your registration details with the co-hosts, partners and sponsors of the Event. Clauses 6, 7 and 8 set out how, and how to opt out.

1Who we are and what these Terms cover

1.1

Ethene Labs, we, us and our mean Ethene Labs XYZ Pte. Ltd. (Singapore, UEN 202409798N, 72 Bendemeer Road #03-14, Singapore 339941) and Ethene Labs Ltd. (British Virgin Islands, Company No. 2191989, Road Town, Tortola), together and each of them.

1.2

Convergence Summit is the conference on how AI is converging across industries, held in Singapore on 13 November 2026. Ethene Labs is the organizer of Convergence Summit and owns and operates the Convergence Summit brand.

1.3

The Organizer is Ethene Labs XYZ Pte. Ltd.

1.4

Event means Convergence Summit and any official Convergence Summit side event, dinner, workshop, hackathon, meetup or online session that Ethene Labs organizes, co-organizes or hosts around it, including Converge @ SFF, the Singapore FinTech Festival official hackathon that Ethene Labs organizes in partnership with the Global Finance & Technology Network.

1.5

Event Page means the registration page for an Event, including the Convergence Summit Luma page, and any page on convergencesummit.ai that describes the Event.

1.6

These Terms apply where the Event Page or the registration form links to them or states that they apply. Where a side event is delivered for a client or partner under that party’s branding, their own terms apply unless the Event Page says otherwise.

1.7

Attendee and you mean any person who registers for, is admitted to or attends an Event, including speakers, hackathon participants, sponsor staff, media, partners and guests.

1.8

By registering for, being admitted to or attending an Event you confirm that you have read and agree to these Terms, including the personal data provisions in Clause 8. If you do not agree, do not register or attend.

1.9

Each Event Page may set out additional terms for that Event, such as dates, venue, ticket fees, dress code, hackathon rules or a code of conduct. Those terms apply together with these Terms. If they conflict, the Event Page terms prevail for that Event only.

2Registration and admission

2.1

Registration is made through the official Event Page. Registrations made through any other channel are not valid unless the Organizer confirms them in writing.

2.2

You must provide accurate and complete information when you register and must update the Organizer if it changes.

2.3

Registration does not guarantee admission. Convergence Summit is an approval-based event. The Organizer reviews every registration and may approve, waitlist or decline it at its sole discretion and without giving reasons.

2.4

Approved registrations are confirmed through the registration platform. Only Attendees with an approved registration and valid identification are admitted.

2.5

Registrations are personal. You may not transfer, resell or assign your registration unless the Event Page allows it.

2.6

Attendees must be 18 years of age or older unless the Event Page states otherwise.

2.7

The Organizer may refuse admission to, or remove from the Event, any person who breaches these Terms, who behaves in a manner the Organizer considers unsafe, disruptive or inappropriate, or whose attendance the Organizer considers to be against the interests of the Event. No refund is due in these cases.

2.8

Venue capacity is limited and approved places are capped. Admission may be refused if the venue is full, even to Attendees with an approved registration.

3Tickets, fees and refunds

3.1

Convergence Summit is free to attend for approved Attendees. Where a fee applies to an Event, the fee, currency and payment method are stated on the Event Page.

3.2

Fees are non-refundable unless the Event Page states otherwise or Clause 4.3 applies.

3.3

Fees exclude any taxes, bank charges or network fees unless the Event Page states otherwise.

3.4

Attendees are responsible for their own travel, accommodation, visas, insurance and other costs of attending.

4Changes, postponement and cancellation

4.1

The Organizer may change the date, time, venue, format, programme, tracks, speakers or any other aspect of an Event at any time. Speakers and programme items are indicative until the Event takes place.

4.2

The Organizer may postpone or cancel an Event, in whole or in part, for any reason, including reasons outside its control such as government orders, public health measures, venue failure, severe weather, strikes, utility or network failure, or security concerns.

4.3

If the Organizer cancels a paid Event and does not reschedule it, the Organizer will refund the fee paid. The refund is the Organizer’s only liability to you for the cancellation.

4.4

The Organizer is not liable for any other loss or cost you incur because of a change, postponement or cancellation, including travel and accommodation costs.

4.5

The Organizer will notify registered Attendees of material changes using the contact details provided at registration.

5Conduct at the Event

5.1

Attendees must comply with these Terms, the venue’s rules, the Event schedule and all reasonable instructions from the Organizer, its staff, contractors and the venue.

5.2

Attendees must treat other Attendees, speakers, staff, contractors, partners and venue personnel with respect. Harassment, discrimination, intimidation, threats, unwanted physical contact and disruptive behaviour are prohibited.

5.3

Attendees must not carry out any unsolicited promotion, sales, distribution of materials, recruitment or fundraising at an Event unless the Organizer has agreed to it in writing.

5.4

Attendees must not record, stream or broadcast any session in full without the Organizer’s written consent. Short clips and photographs for personal social media use are permitted unless a session is marked as off the record.

5.5

Attendees are responsible for their own belongings. The Organizer and the venue are not responsible for lost, stolen or damaged property.

5.6

Attendees must comply with all applicable laws, including sanctions and anti-bribery laws, while attending an Event.

5.7

The Organizer may remove any Attendee who breaches this Clause 5 and may decline that person’s registration for future Events.

6Photography, filming and publicity

6.1

Ethene Labs, its co-hosts, partners and contractors photograph, film and record Events, including talks, panels, networking and general venue footage. Attendees may appear in this content.

6.2

By attending an Event you consent to being photographed, filmed and recorded, and you grant Ethene Labs a perpetual, worldwide, royalty-free, transferable licence to use, edit, reproduce, publish and distribute that content, including your name, likeness, voice, job title and company, for the following purposes:

  • documenting and reporting on the Event;
  • marketing and promoting Convergence Summit, Ethene Labs and future Ethene Labs events, on websites, social media, email, press, decks and print;
  • media coverage and partner and sponsor reporting;
  • archival purposes.
6.3

Ethene Labs may allow co-hosts, partners and sponsors of the Event you attend to use this content for their own reporting and marketing about that Event.

6.4

No fee or credit is payable for these uses. Ethene Labs is not obliged to use any content.

6.5

If you do not want to be photographed or filmed, tell the registration desk on arrival. The Organizer will make reasonable efforts to honour the request, for example by providing a marker for your badge. Ethene Labs cannot guarantee that you will not appear in wide shots or crowd footage.

6.6

You may ask Ethene Labs to remove a specific image or clip in which you are identifiable by emailing [email protected]. Ethene Labs will act on reasonable requests for content it controls but cannot recall content already published by third parties or in print.

6.7

Speakers grant Ethene Labs the same licence in respect of their presentation, slides and recorded session, for the purposes in Clause 6.2, unless a separate speaker agreement provides otherwise.

7Communications and mailing lists

7.1

Ethene Labs will send you service messages about an Event you have registered for, such as approval, venue, schedule and logistics. By registering you also agree that Ethene Labs may send you marketing about future Ethene Labs events and content.

7.2

Ethene Labs may add your contact details to its mailing lists for these purposes. The lists are shared across the event brands that Ethene Labs owns and operates.

7.3

Every marketing email contains an unsubscribe link. You may also unsubscribe at any time by emailing [email protected]. Ethene Labs will action unsubscribe requests within 10 business days. Unsubscribing from marketing does not stop service messages for an Event you have registered for.

7.4

Ethene Labs may also contact you through the registration platform, by Telegram or by other messaging channels if you have provided those details.

8Personal data

This Clause 8 explains how Ethene Labs collects, uses, discloses and protects your personal data in connection with Events. It is written to meet the Singapore Personal Data Protection Act 2012 (PDPA) and, where it applies to you, the EU and UK General Data Protection Regulation (GDPR).

They act on our instructions and may only use your data to provide their services.

Our service providers and the co-hosts, partners and sponsors of an Event may be located in other countries, including the United States and other jurisdictions that may not offer the same level of data protection as your home country.

8.5.2

Where we transfer personal data outside Singapore, we do so in accordance with the PDPA Transfer Limitation Obligation. Where the GDPR applies, we rely on adequacy decisions, standard contractual clauses or your explicit consent to the transfer, which you give by registering.

8.6Retention

8.6.1

8.6.2

Mailing list data is kept until you unsubscribe or ask us to delete it.

8.6.3

Photographs and recordings are kept indefinitely for archival and marketing purposes, subject to Clause 6.6.

8.6.4

Payment and tax records are kept for the period required by Singapore law, currently 5 years.

8.7.1

Ethene Labs takes reasonable technical and organizational measures to protect personal data against unauthorized access, loss, misuse and disclosure. No method of transmission or storage is completely secure and Ethene Labs cannot guarantee absolute security.

8.8Your rights

8.8.1

Under the PDPA you may request access to and correction of your personal data and withdraw your consent. Under the GDPR, where it applies, you may also request erasure, restriction, portability and object to processing based on legitimate interests, including direct marketing.

8.8.2

To exercise any right, email [email protected]. We may ask you to verify your identity. We respond within 30 days, or tell you within that time if we need longer. We may charge a reasonable fee for access requests where the law permits.

8.8.3

If you withdraw consent, Ethene Labs may be unable to process your registration or admit you to the Event. Withdrawal does not affect processing that took place before withdrawal.

Ethene Labs may decline a correction or erasure request where it has reasonable grounds to do so, and will tell you why.

8.8.5

You may complain to the Personal Data Protection Commission of Singapore (pdpc.gov.sg) or, if the GDPR applies to you, to the supervisory authority in your country.

9Content, materials and intellectual property

9.1

The Convergence Summit and Converge @ SFF names, logos, websites, programmes, decks, recordings and other materials produced by or for Ethene Labs are owned by Ethene Labs or its licensors. You may not use them without written permission, other than for personal, non-commercial reference.

9.2

Speakers, panellists and sponsors are responsible for their own content. Their views are their own and do not represent Ethene Labs, its co-hosts, partners or sponsors.

9.3

Nothing said or distributed at an Event is legal, tax, financial or investment advice, and nothing is an offer, solicitation or recommendation to buy, sell or hold any security, token, digital asset or other financial product. You are responsible for your own decisions and for seeking your own professional advice.

9.4

Any demo, model, API, testnet, wallet, application or other technology that you use at an Event is used at your own risk. You are responsible for safeguarding your devices, wallets, keys and credentials. Ethene Labs is not liable for any loss arising from your use of third-party technology or from transactions you initiate.

9.5

Hackathon participants keep ownership of the code and materials they create at an Event, subject to the rules published on the Event Page for that hackathon. Those rules govern eligibility, team size, submission, judging, prizes and any licence granted to the Organizer, its co-hosts and track sponsors. Where they conflict with these Terms, the hackathon rules prevail for that hackathon only.

10Liability

10.1

You attend Events at your own risk. To the fullest extent permitted by law, Ethene Labs, its co-hosts, partners, sponsors, contractors, officers and staff are not liable for any loss, damage, injury, cost or expense arising from your registration for or attendance at an Event, except where caused by their fraud, gross negligence or wilful misconduct, or where liability cannot be excluded by law.

10.2

Ethene Labs is not liable for any indirect, consequential or special loss, or any loss of profit, business, opportunity, data or goodwill.

10.3

Where liability cannot be excluded, the total liability of Ethene Labs to you in connection with an Event is limited to the fee you paid for that Event, or US$100 if no fee was paid.

10.4

You will indemnify Ethene Labs and its co-hosts, partners, sponsors, contractors, officers and staff against any claim, loss or cost arising from your breach of these Terms or your conduct at an Event.

10.5

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be excluded by law.

11General

11.1

Changes to these Terms. Ethene Labs may update these Terms at any time by publishing the revised version on its websites. The version in force on the date of the Event applies to that Event. Material changes will be notified to registered Attendees where practicable.

11.2

Entire agreement. These Terms, the Event Page and any additional terms notified by the Organizer are the entire agreement between you and Ethene Labs for the Event.

11.3

Waiver. A failure or delay by Ethene Labs to enforce any right under these Terms is not a waiver of that right.

11.4

Severability. If any provision of these Terms is held to be invalid or unenforceable, the rest of these Terms continue in force.

11.5

Third-party rights. Co-hosts, partners, sponsors, contractors and the venue may enforce the rights given to them under Clauses 6, 8 and 10. Otherwise, a person who is not a party to these Terms has no right under the Contracts (Rights of Third Parties) Act 2001 of Singapore to enforce any term.

11.6

Assignment. Ethene Labs may assign or transfer its rights under these Terms to any Ethene Labs entity or to a successor of the Convergence Summit business. You may not assign your rights.

11.7

Language. These Terms are written in English. Any translation is for convenience only and the English version prevails.

12Governing law and disputes

12.1

These Terms are governed by the laws of Singapore.

12.2
